How We Work
1. Intake starts immediately
We begin by collecting the details we need: provider information, practice details, payer list, tax ID, NPI, CAQH, locations, banking details, clearinghouse setup, portal access, and any existing payer issues, all through a simple Jot Form.
No guessing. No “send whatever you have.”
We build the file properly from the start, like professionals.

2. A team is assigned within 8 hours
Once intake is received, we assign a Medrollment team member within 8 business hours.
You are not left wondering who is handling what.
Every case has an owner, a tracker, and a clear next step.
8. Final handoff is organized
Once the work is complete, we hand everything over in a shared folder.
This may include:
Credentialing approval letters
Payer effective dates
Provider portal details
ERA/EFT confirmations
EDI/clearinghouse setup details
Submitted forms
Status tracker
Important payer notes
Next revalidation or follow-up dates
So your team is not digging through emails six months later.
3. We verify the paperwork before submission
Before anything goes to a payer, we check the basics.
CAQH.
W-9.
NPI.
License.
Malpractice.
Taxonomy.
Service locations.
Group information.
Banking documents.
Payer-specific forms.
4. Submission begins — and communication starts
Once the file is ready, we submit to the payer, portal, clearinghouse, or enrollment platform.
From there, communication begins between:
Medrollment → Payer → Practice / Provider
If the payer asks for additional forms, signatures, documents, corrections, or clarifications, we stay on top of it and push it forward.
5. Follow-ups are automatic every 10 working days
Our standard payer follow-up cycle is every 10 working days.
That means the application does not sit quietly in some payer queue while everyone forgets about it.
We track it.
We follow up.
We document the response.
We move the next item.
6. We chase every approval
Our job is not just to “submit.”
Our job is to get the approval, confirmation, effective date, connection, or payer response.
If an approval cannot be obtained, or the payer does not allow the requested setup, we adjust the invoice accordingly.
Fair is fair.
7. We handle the gaps practices usually miss
A lot of payer issues are not really billing issues.
They are setup issues.
Provider not linked to the group.
Wrong service location.
ERA not connected.
EFT still pending.
Portal access missing.
Clearinghouse payer ID mismatch.
CAQH outdated.
Payer approval received but never handed to billing.
This is where Medrollment steps in.
9. We support providers at any stage
New practice?
New provider joining?
New location?
Changing bank account?
Switching clearinghouse?
Missing ERA?
Payer portal mess?
Old enrollment issue nobody understands?
That is our lane.
Medrollment helps providers and practices deal with insurance setup issues before they become revenue problems.
